Our client, a top School Board in Peel and Dufferin, is seeking an analytical, organized, and multitasking Attendance Secretary to be part of their team on a contract basis. Long term potential!

Under the direction of the Supervisor/Designate, this position is responsible for collecting, maintaining and communicating promptly and accurately, daily attendance records for all students in the school in which they work, including reporting to school administration staff and informing the parents/guardians of any absent student, through the automated system available to the secretary. Accurate student attendance records must be recorded and maintained daily in accordance with Board and Ministry regulations. Maintaining confidentiality is a requirement for this position. The working hours will correspond with the individual institution’s timetable and school holidays. Selected applicants for this role would require a vulnerable sector screening check. May be subjected to occasional verbal abuse and in extremely rare circumstances, physical abuse from students

·        Taking notes/phone calls from parents and students regarding the students daily attendance in school
·        Issuing admit slips to class
·        Obtain, enter and maintain attendance information accurately into the Student Information Systems
Reporting to and Consulting with Administration and Faculty20%
·        Attendance data and information collected must be reported to the faculty daily to ensure that they are able to guarantee the accuracy and validity of student attendance in accordance with School Board and Ministry requirements
·        Report to Administration and/or Faculty in cases where the validity of a student’s absence is called to question. (i.e. the authenticity of a note/phone call from a parent)
·        Maintain regular communication with both administration and faculty as necessary, in order to ensure the accuracy of attendance data and information. Perceived discrepancies and inaccuracies must be brought to the attention of both of these groups in accordance with Board attendance policies
Student Data Management40%
·        Providing assistance with daily input into student data management system
·        Runs reports using student data management system
·        Updates student data
·        Performs tasks necessary to transfer outgoing students
·        Mails OSRs to other schools when appropriate documentation is received
·        Tracks missing OSRs
·        Maintains student records regarding admissions, retirements and student transfers
·        Other responsibilities, tasks and/or duties can be assigned.

EDUCATION AND EXPERIENCE

  • A minimum of 2 years of recent relevant experience
  • Secondary School Diploma
  • Proficient in the use of Board provided computer-based technologies to create, manipulate, store and retrieve information, and communicate with others
  • Preferred experience in an educational setting
  • Experience with Student Information Systems, certification an asset
  • Experience working in a fast-paced working environment.
  • Proficient in the use of Board provided computer-based technologies to create, manipulate, store and retrieve information, and communicate with others
  • First Aid Certification an asset
