Contract: $19/hr

Our client, a top School Board in Peel and Dufferin, is seeking an analytical, organized, and multitasking Assistant Secretary to be part of their team on a contract basis. Long term potential!
Under the direction of the Supervisor/Designates, this position provides administrative support and assistance to the school offices including but not limited to the Guidance and Attendance Office areas. Maintaining confidentiality is a requirement for this position. The working hours will correspond with the individual institution’s timetable and school holidays. Selected applicants for this role would require a vulnerable sector screening check.

KEY RESPONSIBILITIES% of Time
Customer Service

Telephone reception
Visitor reception and direction
Mail duties for the Attendance and Guidance offices
Books student appointments
Photocopying and distribution
Books counsellor/parent interviews as required
May provide assistance when illness/injuries occur and inform parents/guardians of accidents or illness in accordance with school protocol

Producing various information, documents and correspondence as required,
Filing
Updating bulletin boards
Recording registration payments
Ordering office supplies
Ordering and keeping current post-secondary information for counsellors and students

Student Data Management

Providing assistance with daily input into student data management system
Runs reports using student data management system
Updates student data
Performs tasks necessary to transfer outgoing students
Mails OSRs to other schools when appropriate documentation is received
Tracks missing OSRs
Maintains student records regarding admissions, retirements and student transfers
Retains and tracks student and teacher timetables
Other responsibilities, tasks and/or duties can be assigned.

Hours of the position are Monday to Friday from 8:00 am – 3:00 pm EST

EDUCATION AND EXPERIENCE

  • A minimum of 1 year of recent relevant office experience
  • Secondary School Diploma
  • Proficient in the use of Board provided computer-based technologies to create, manipulate, store and retrieve information, and communicate with others
  • Preferred experience in an educational setting
  • Experience with Student Information Systems
  • Experience working in a fast-paced working environment.
  • Proficient in the use of Board provided computer-based technologies to create, manipulate, store and retrieve information, and communicate with others
  • First Aid Certification an asset
